Job Opening: Operations Manager
Hybrid Position Based in Sacramento

The Water Education Foundation, a nonprofit based in Sacramento, is seeking a full-time Operations Manager who is organized, detail-oriented and energetic with the ability to manage changing priorities. The role involves supporting the Foundation’s operations, programs and fundraising efforts. The ideal candidate for this position will enjoy playing a central role in a respected organization. The Foundation has been a trusted source of water news and educational programs in California and across the West for nearly 50 years.

The primary responsibilities of this position include managing the donor database and other system platforms, assisting with annual fundraising campaigns, providing general support to the executive team, managing office needs and inventory, logging checks and organizing expenses, and handling travel arrangements for team members. This position works closely with the Executive Director and the Deputy Executive Director.

Specific Duties and Responsibilities include:

Donor Database & Platform Management

  • Managing databases such as NeonOne, Shopify and Mailchimp.
  • Managing data pipelines and integration as well as ensuring that data is being processed and stored accurately in all systems.
  • Tracking invoices and contributions, maintaining check logs and records, running reports and managing thank you letters to contributors through mail merges and other means.
  • Implementing, tracking and distributing member benefits.

Financial Tasks

  • Organizing outside accountant’s task list and possessing an understanding of general financial principles.
  • Organizing incoming mail and checks and properly documenting them in the database.
  • Organizing monthly expenses and revenue.

Board of Directors Support

  • Assisting the executive team in preparing meeting agendas, setting up polls for committee meetings and taking minutes at board meetings.
  • Updating board records, documents and letterhead.

Programs Support:

  • Invoicing for event registration, sponsorships and follow-ups.
  • Managing the Shopify system, shipping educational material orders and preparing invoices for large orders.
  • Managing inventory of maps and guides.
  • Organizing and coordinating internal and external events, from office gatherings to campaigns such as Big Day of Giving and our annual open house.

Operations & Administration:

  • Improving operational management systems, processes and best practices with the executive team.
  • Monitoring the organization’s operations and ensuring compliance with legal and regulatory requirements.
  • Managing office equipment and supplies, and ordering items as needed.
  • Serving as the liaison with the outside IT company.
  • Organizing and maintaining the office filing system.
  • Maintaining office and kitchen organization.

Other Duties:

  • Assists programs team as needed and attends conferences, tours and other events as assigned to assist with execution.
  • Overnight travel occasionally for conferences and events.
  • Ability to maintain regular attendance and punctuality.
  • Strong ability to manage competing demands and meet deadlines.
  • Other duties as assigned.

Qualifications:

  • Bachelor’s degree in a relevant field or at least five years of demonstrable work experience.
  • Excellent verbal and written skills; accurate spelling a must; proofing experience a bonus.
  • Strong knowledge of Microsoft Suite and experience with CRM system.
  • Experience working with an executive team a plus.

Salary/Benefits:

This is an hourly position with an annual pay range from $58,000 to $65,000, depending on experience and qualifications.

Excellent benefits – Employer pays 100 percent of employee’s monthly premium for medical, dental and vision insurance; Provides paid vacation, sick time and more than a dozen paid holidays each year; Offers 403(b) retirement plan with generous employer contributions starting at 7% of salary once 1,000 hours of work are completed, regardless of employee contribution.
